ISO 9001 Audit Preparation and the Certification Cycle

Preparing for an ISO 9001 audit means demonstrating how the quality management system operates. The assessment is not limited to whether procedures have been written. Responsibilities, objectives, process records and corrective actions should show how the organisation manages its work and evaluates improvement.

Prepare processes and evidence

Identify process owners, meaningful quality objectives and the records used to monitor results. Staff should understand their roles and be able to explain the procedures they use. Customer feedback, supplier controls and the handling of nonconformities should be supported by actual evidence. Avoid creating documents that describe a system the business does not operate.

Internal audit and management review

Use internal audits to identify weaknesses before the external assessment. Record findings and follow corrective actions through to completion. Management review should consider the system's performance and the decisions needed to maintain it. These activities are more useful when they lead to practical changes rather than only a completed checklist.

Understand the certification programme

Management system certification commonly follows a three-year cycle with surveillance activities, but the exact programme must be confirmed with the certification body. ISO develops standards and does not issue business certificates itself. Consultancy preparation and the independent certification decision are different functions.

Check scope and acceptance

Compare the certification body's accreditation scope with your activities and customer requirements. If the business changes its location or activities, discuss the effect on the certificate. A management system certificate does not guarantee that every product is defect-free or that every legal obligation has been satisfied. Özgel Patent supports preparation and coordination, helping the business organise its processes and records before an independent assessment and maintain an appropriate follow-up plan afterwards.
